How personal information is used when casting teams and artists connect through Artodo Casting.

Your profile, applications and conversations help casting teams work together. This policy explains who can see that information, why it is used and how to exercise your rights.

Who is responsible for your data

Trabado EOOD, Plovdiv, Bulgaria, operates Artodo Casting. We act as controller for the personal data we use to manage accounts, provide and secure our platform, and respond to enquiries. Contact us at info@artodo.io about privacy or your data rights.

Casting organisations decide how they evaluate applicants and run their productions and may act as separate controllers for those activities. Where we store or manage information solely on their instructions, we act as processor under the applicable data processing agreement. Contact the organiser about its recruitment decisions and use of data outside Artodo; we can help identify the appropriate contact.

This policy covers visitors, workspace members and artists whose information is handled through Artodo Casting. Other Artodo products may have additional privacy notices.

Information we process

The information involved depends on the features you use and your relationship with a casting organisation:

  • Account and organisation information: names, email, profile photo, authentication records, organisation details, membership, permissions and invitations.
  • Artist and application information: professional profile, experience, skills, languages, location, playing age, role-relevant physical characteristics, photographs, CVs, showreels, self-tapes, links and submitted answers.
  • Casting activity: listings, roles, application status, shortlists, evaluations, notes, audition dates and locations, messages, attachments and notifications.
  • Technical and support information: IP address, browser or device information, request and security logs, browser storage and information you send when asking for help.

Where information comes from

Information comes from you, your interactions with the service, your organisation’s administrators, casting organisers and the Artodo artist profiles and applications made available to casting teams. For example, an administrator may invite you using your name and email, and an organiser may add evaluation notes or audition details.

Published casting information can be accessed without signing in and may be indexed by search engines. Do not place private contact details or confidential applicant information in a public listing. Applicant materials and internal notes are intended for the relevant authorised casting team; conversations are available to their participants and authorised personnel where needed to operate or protect the service.

Why we use information

We use personal data only where a relevant legal basis applies:

  • Contract, including steps you request before entering one: creating and maintaining your account, providing requested workspace features, and delivering service communications.
  • Legitimate interests: administering organisation memberships, connecting relevant artists and casting teams, supporting users, preventing misuse and protecting the service. We consider the impact on individuals and balance these interests against their rights.
  • Legal obligations: responding to valid legal requests, meeting applicable record-keeping duties and handling data protection requests.
  • Consent, where required: optional communications or processing that requires a separate choice. You may withdraw consent at any time without affecting earlier lawful processing. Reading this policy or accepting the terms is not blanket consent.

Casting matches and human decisions

Matching features compare role criteria with artist profile information, including playing age, gender, location, skills, languages and selected physical characteristics. A weighted match score can help surface relevant roles and trigger a casting notification. A match is a suggestion and may be incomplete or inaccurate.

These features do not themselves hire or reject an artist. Casting teams make selection decisions. You can request correction of profile data or raise an objection to processing based on legitimate interests by contacting us. An organiser is responsible for explaining any separate automated tools it uses in its own selection process.

Who receives information

Depending on the feature, recipients include the relevant casting organisation and its authorised team, participants in a conversation, artists receiving casting communications, and the public for information deliberately published in public casting listings.

Technical providers may process information as needed for hosting, databases, file storage, email delivery and service security. Authorised Artodo personnel may access information for support, maintenance or investigation. Information may also be disclosed to professional advisers or authorities where legally necessary, or in a business transfer subject to applicable safeguards and notice.

Location searches use Mapbox when enabled and send the entered search text and technical connection information to that provider. The interface also loads Google Fonts and some externally hosted images; requests to external providers can disclose an IP address and browser details. External media links are governed by the destination’s privacy practices.

International processing

External providers may process information outside the European Economic Area. Where we arrange a restricted international transfer, it must be covered by an applicable adequacy decision or appropriate safeguards, such as European Commission standard contractual clauses and supplementary measures where needed. Contact info@artodo.io for information about the safeguards relevant to your data or to request a copy.

Cookies and browser storage

Authentication cookies support sign-in and session renewal. The NEXT_LOCALE preference cookie remembers your chosen language for up to one year. Local storage holds account, organisation and sign-in state on your device; session storage also supports temporary workspace state. Local storage can remain until cleared, while session storage normally ends when the tab or browser session closes.

You can remove cookies and stored data through your browser settings. This may sign you out or reset preferences. Browser storage is separate from server records: clearing it does not delete your account or applications. Any non-essential tracking that requires consent must be subject to a separate choice before it is enabled.

How long information is kept

Retention depends on the purpose and type of record. Account and membership information is used while needed to provide your account and manage organisation access. Casting and application records are kept for the relevant selection process and any justified follow-up or dispute period; the casting organisation is responsible for the retention it determines as controller.

Support and security records are retained as necessary to resolve the issue, investigate misuse and protect legal claims. Where law requires records to be kept, that legal period applies. We assess the purpose, sensitivity, legal duties and need to defend claims when deciding whether continued retention is necessary; information no longer needed should be deleted or anonymised.

Account closure does not necessarily delete an organisation’s records or copies it has lawfully downloaded. Backup copies may remain until their normal replacement cycle and should not be used for ordinary operations. Contact us for the retention criteria applicable to a particular record or to request deletion.

Your rights and choices

Subject to the conditions in data protection law, you may request access, correction, deletion, restriction or portability of your data. You may object to processing based on legitimate interests because of your situation and to direct marketing at any time. You may withdraw consent where processing relies on it.

Email info@artodo.io with your request. We may need proportionate information to verify your identity. We normally respond within one month; if a lawful extension is needed, we explain it within that month. Requests are generally free. If an exception applies or another controller is responsible, we explain the next steps.

You may complain to Bulgaria’s Commission for Personal Data Protection (CPDP), or the competent supervisory authority where you live, work or believe a breach occurred. You do not have to contact us first.

Sensitive information and children

The professional casting workspace is intended for adult account holders. Productions involving children must be handled by authorised adults with the appropriate legal permissions and safeguards. Contact us if you believe a child’s information has been submitted without the necessary authority.

Do not submit identity documents, health information, ethnic origin or other special-category data unless it is necessary, lawful and supported by the required safeguards and legal basis. A photograph or video is not automatically biometric identification data, but its content can reveal sensitive information. Organisers must assess these risks before requesting or using materials.

Some account information is necessary to provide the service. Without it, we may be unable to create an account or provide a requested feature. Optional profile details need not be supplied, but may affect matching or the information available to a casting team.

Keeping information secure

The service uses authenticated access and organisation permissions to limit access to workspace information. Protect your password, review team access and avoid sharing private audition materials through public links. No online service can promise absolute security; report suspected unauthorised access to info@artodo.io.

Updates and contact

We update this policy when our practices or legal requirements change. The date above shows the latest revision. Material changes will be brought to your attention through the service or other appropriate communication; where a new use requires consent, we will request it separately.
